Integral Energy Australia is an Australian government-owned energy distributor and retailer, employing approximately 2,500 people and providing energy to around 820,000 customers throughout NSW. When Integral proposed to either upgrade or replace its electronic document control system they used the change process to address shortcomings in records disposal and redesign their recordkeeping control frameworks. The aim was to move from hybrid system based on part paper and part imaged records to a full digital records system. Although initially focused on developing a new classification and records retention scheme, the project expanded to review records policies and practices, design the practical implementation stages for EDMS software implementation, metadata, migration and disposal implementation.
This project required extensive research to understand the regulatory framework, in particular the safety and environmental compliance requirements of the agency. The project required extensive stakeholder consultation, there was a need for regular communication and progress reporting and adherence with the agency's project management methodology. Our ability to coordinate and deliver in a complex technical environment was a key factor in gaining user acceptance and stakeholder's acceptance of the deliverables.
