Information management continuity and toolkit
Transport NSW required a standard approach to managing its information when undertaking large scale infrastructure design and construction projects – a way of managing information continuity once the project phase of the project was complete. Projects include new train links, stations and transport hubs. Transport needs to take custody of information from the construction projects to operate and maintain the assets within the transport network.
To ensure information continuity, Transport needed to set standards and pre-plan the transfer of information. Recordkeeping Innovation developed the control tools, as set of naming conventions, specifications for the format of information and model disposal schemes. the toolkit maps to the government wide information strategy, project management methodologies, and the products align to the NSW Government Information Management Framework. We designed a customised Information Management governance framework, with easy to follow steps for newly created project teams. At the project completion, the project team transfers information assets to Transport for ongoing operations and maintenance.
This approach provides a ‘by-design’ strategy for managing digital information. Practical guidance for project managers at commencement helps to establish project governance. The aim is to provide assurance within the project and to Transport, that digital information assets are identified, managed appropriately, according to NSW standards, and are therefore available for as long as needed.
